Who is responsible for your information
SEF Digital is an operational forms and attendance application used by authorised Social Employment Fund teams. Solidaridad Network SA Trust is the responsible organisation for information processed through the application.
This policy is effective from 7 August 2026 and applies to the SEF Digital Android application and its administrator dashboard.
Information we process
- Account and participant details, including names, email addresses, phone numbers, addresses, nationality, gender, dates of birth, identity numbers, assigned sites and localities.
- Attendance registers, work logs, misconduct forms, resignation letters, maternity leave forms, payroll notes and related operational records.
- Signatures, generated PDF documents, document links and submission status.
- Administrator-saved locality coordinates when an authorised administrator chooses to record a location.
- Audit, notification, review and synchronisation information needed to operate and secure the service.
Why we use the information
Information is used to authenticate authorised users, assign participants to the correct team leader or timekeeper, capture official SEF records, generate documents, synchronise offline work, monitor missing submissions, review records and support programme administration and reporting.
SEF Digital does not use personal information for advertising and does not include an advertising or behavioural analytics SDK.
Sharing and service providers
Access is limited by user role, assigned site and assigned locality. Authorised administrators, supervisors, team leaders and timekeepers can only access information needed for their work. Supabase provides secure database, authentication, file storage and backend services. A file or location is disclosed to another application only when an authorised user deliberately chooses a share action.
Information is not sold.
Storage, security and retention
Data is transferred over HTTPS. Offline structured data is encrypted on the device, credentials are protected by Android secure storage, and files remain in app-private storage until synchronised or removed. Backend access controls restrict records and documents to authorised users.
Local drafts are retained until they are submitted, deleted by an authorised user, or removed with the application's local data. Submitted forms, PDFs, signatures and audit records are retained for the SEF programme's operational, contractual and legal record-keeping needs. When information is no longer required for those purposes, it is securely deleted or de-identified in accordance with the Protection of Personal Information Act, 2013.
Your choices and rights
Participants and authorised users may request access to, correction of, export of, or deletion of their information. A request may be limited where retention is required by law, contract or an approved programme record-keeping obligation. Public account registration is not available; account creation, suspension and deletion are managed by authorised administrators.
Contact leqoalane@gmail.com for privacy, support, correction or deletion requests. If a concern is not resolved, a person may contact South Africa's Information Regulator through its official channels.
Changes to this policy
We may update this policy when the application, legal requirements or programme operations change. The effective date above will be updated when material changes are published.
